So you just got engaged—congratulations! You’ve shared the big news with family and friends, maybe even posted that perfect ring shot on Instagram. But now you’re wondering: What’s next? Where do I even start?


As a professional wedding photographer based in Texas, and who grew up with the Wedding Industry, I’ve worked with countless couples navigating this exciting season, and I know how overwhelming it can feel. That’s why I created this Engagement Checklist for Newly Engaged Couples—a practical guide to keep you organized and help you enjoy the process.


If you’re ready to start wedding planning without the stress, this post is for you!

Step 1. Make a List, and Prioritize

Before diving into venues or scrolling Pinterest for hours, sit down with your fiancé and talk about priorities. What matters most to both of you? Is it the wedding photography, the venue, or the food?


Pro Tip: Make a shared Google Doc and list vendors in order of importance. This helps you budget smartly so you can splurge on what really matters to you—like timeless, romantic wedding photos you’ll cherish forever!

Step 2: Decide on Your Engagement Length & Wedding Date


Is there a meaningful date for you both that is at the top of your priority list? If so, make sure to book early! Is weather an important factor for you? Are you dreaming of a spring wedding, a cozy winter celebration, or a fall ceremony with golden leaves? Keep in mind that for top vendors like photographers, dates can fill up 12–18 months in advance.


Not set on a date? Consider flexibility for better pricing—Fridays, Sundays, or off-season weddings often come with discounts. Once you have an idea of dates, and what is important to you, you can go into the venue searching process with a clearer picture of what you want.

 

Step 3: Take it One Step at a Time


Start by researching vendors in each category that fit your aesthetics and taste.


Starting with wedding planning sites like The Knot, Wedding Wire, or Zola is a great place to begin because they offer helpful tools and inspiration. But here’s something many couples don’t realize: vendors often have to pay for premium listings on these platforms to show up in the top search results. This means the photographers, florists, or planners you see first aren’t necessarily the best fit for you—they might just have the biggest advertising budgets! For example, a boutique wedding photographer who specializes in dreamy, intimate weddings might not invest thousands in ads to appear on those sites, even though their work could be exactly what you’re looking for. These hidden gems often book through referrals, Instagram, or even Google searches like ‘romantic wedding photographer in [your city]’ and are sometimes a more affordable option!


So don’t be afraid to go beyond the usual planning sites. Check social media, hashtags, local Facebook groups, or simply do a Google search for vendors who match your style. This is one of the best ways to find someone truly aligned with your vision—without the cookie-cutter feel of big advertising directories.


Once you find someone whose style matches your vision, book them right away. Trust me, the earlier you secure your dream team, the smoother everything goes.

Your venue determines your wedding date, location, and overall style. Everything else depends on this choice.


2. Photographer

Your photos are the lasting memories of your day. This person will be with you your entire wedding day! Make sure to schedule a phone call or a coffee meet up with them to make sure they are the best fit for you.


3. Day-of Coordinator

They keep everything organized, reduce stress, and help your day run smoothly.


4. Catering / Food & Drinks

Feeding your guests well is a top priority, and caterers often need months of notice. Your venue will be a great resource for catering recommendations!


5. Videographer

Captures movement, sound, and emotion—something photos can’t always do. This is a great splurge option!


6. Entertainment (DJ or Band)

Music sets the tone for your reception and keeps guests on the dance floor. They help manage timelines as well, act as MC for your night, and set the vibe for your entire reception.


7. Florals & Decor

Flowers and decor bring your vision to life and create the mood for your celebration.





8. Hair & Makeup

Your beauty team helps you look and feel amazing for photos and the entire day.


9. Wedding Attire (Dress, Suit, Accessories)

Dresses and suits can take months for delivery and alterations—don’t wait to shop.


10. Stationery (Invites & Save-the-Dates)

Sets the tone for your wedding and gives guests the details they need.


11. Transportation

Keeps your timeline on track and your guests safe getting to and from the venue.


12. Cake / Dessert

A sweet ending to your big day—and an iconic photo moment. Not a cake person? You can have anything you want!


13. Rentals (Tables, Chairs, Linens)

Essential for venues that don’t provide everything you need for seating and dining.


14. Officiant

You can’t legally get married without one. Book early if you have someone specific in mind.

Step 4: Open a Wedding Bank Account


Having a dedicated wedding account keeps your budget crystal clear and your payments organized. Deposit any engagement gifts, contributions, and your own savings here so you know exactly what you’re working with.


Pro Tip: Use this account to set up automatic payments for major vendors. It’ll save you stress later when deadlines sneak up.

Step 5: Send Out Save-the-Dates


Save-the-dates are your guests’ first glimpse into your big day, so make them count! Ideally, send them out 6–12 months before the wedding, especially for destination or holiday weekends.


Want to make them extra special? Schedule an engagement session and use those stunning photos for your save-the-dates. It adds a personal touch and gets everyone excited and they can also be used for step 6!

Wedding websites are your all-in-one hub for sharing your big day! They’re the perfect way to keep guests informed and excited while making planning so much easier for you.


Even if you don’t have every detail nailed down yet, you can start by adding your love story, fun facts about the two of you, and photos—both personal snapshots and professional engagement photos if you’ve had a session. It’s such a great way to let your guests feel connected before the big day.


Once your registry is ready, link it right on your site for easy access. And remember, registries today go way beyond dishes and linens. You can set up a honeymoon fund, a photography fund, a down payment fund, or even contributions toward your wedding itself.


The best part? Most wedding websites are completely free, easy to set up, and can even handle RSVPs—saving you time, postage, and stress.


Extra Tip: Add a section about your love story and some fun facts about you as a couple—your guests will love it!

Here’s why: planners do so much more than keep things organized. They take the stress off your plate so you can actually enjoy the process (and your wedding day!) without feeling overwhelmed. No one should be running around or problem-solving on what’s supposed to be the happiest day of their life.


A great planner can also help you stay on budget by making smart recommendations and preventing costly mistakes. In fact, the money you spend on a planner often pays for itself in savings and peace of mind.
